Bank transfer follow up
This guideline will go through the process of how to follow up on open orders that are missing payment.
This is for example when an order has been made with a bank transfer.
Step 1
Always have a folder in your store with all the orders that are made with bank transfer. This way you can
make sure that you have a physical overview of the orders and know the original delivery date of the order.
Choose one day a week to follow up on your orders. Since most bank transfers goes through in the
weekend, it could be every Wednesday or Thursday.
Step 2
When the sales order is made with bank transfer, put in a note on the order with the original delivery date
the customer picked when ordering.

Step 3
When a sales order with bank transfer is made, tell the customer that they should send the store an email
when they have transferred the money, with a screenshot.
When your store receives this, go to the sales order and put in a note what day the money was sent so both customer service and the finance department knows.

Extra – How to find all your orders with a balance in the system
Step 1
Go to sales orders
Filter your own department, click ‘Apply’
Step 2
Find the balance field and put in ‘greater than or equal’ and write ‘0,1’. Now ‘Apply’
Now all the sales orders from your store with an imbalance will show, and you can follow up on them
easily.
