In the following guide you will be shown how to detect and handle minus lines in your stock on hand.
Detect minus lines in your Retail store management work space – Tile: Negative On hand
When you open the tile, you will have a complete overview of minus lines related to your store warehouse (Main, Exhibition and Outlet)
We have 2 “types” of minus lines: True minus and Dimension conflict minus.
When there is a minus in: Physical inventory + Available physical = “True minus” line
To solve a “true” minus line, you must do a manual count for the specific item and adjust so the stock on hand is correct. This can be done via Inventory Adjustment
When there is a minus in: Physical inventory only = “Dimension conflict minus”
(When you detect a “Dimension conflict minus” – it is a good idea to open your normal On hand and add the item number to check where the conflict is)
An example of a “Dimension conflict minus”
Here you see that there is a minus on the line marked with red and a plus qty. on the line marked with green.
The difference between the 2 lines in the example is on the Dimension “serial number” – Same item, just with 2 different serial numbers.
The Available physical qty. for this item is 0 (-1+1=0)
To solve a “Dimension conflict minus” you must make an Inventory transfer to get the item in balance.
In this example we will make a transfer from serial number “Store” to Serial number “0002592870” to clear the conflict.
When you make the Inventory transfer – it is very important to pay attention to the from/to Dimensions – Warehouse, Location, Inventory status and serial number.
“Dimension conflict minus” can emerge due to a lot of reasons – the most common is when we have Cash&Carry items on our exhibition stock and sell them as Instant, then the items will get deducted from you main warehouse.
Another scenario is when we manually create a picking list for Click&Collect before the item has been received and has changed its serial number from 000xxxxxxxx to Store – then 000xxxxxxxx is stuck to the order and the item will get deducted from stock on hand on this serial number.
You can also have a conflict on warehouse, Inventory status and location – and it can be cleared by the same procedure as shown above.
