The following guide will show you how to work with Transactions in D365.
Step 1
Searching for item transactions – easiest done by adding item number and warehouse.
Depending on the results you can always add more filters if needed.
Tip! – To make it is easy to search across all Store warehouses, set the filter in warehouse to “Contains” and add your store number or Hub warehouse ID
Step 2
Reading the Transactions
• Physical date: The date of inventory change/ The date journal was posted (sort the results – oldest to newest to get the results chronological)
• Reference: Which type of inventory transaction cause the change*
• Number: Is the actual reference number for the change (Transfer order number, counting journal number, Inventory adjustment journal number, Sales order number etc.
(Tip! If you mark the line for the specific transaction the numbers turn blue and can be used as hyperlink,
which can be used to jump directly to the journal, sales order etc.)
• Receipt/Issue – Purchased/Sold: Means in and out of the stock**
• Quantity: Quantity
• Warehouse: Warehouse
In the column “Number” you will see that some transaction lines are connected – This is usually Inventory transactions, from one warehouse to another.
*Reference (when searching transactions on the Hub – it can be a good idea to set the reference filter to “is not” work – to leave out all scannings)
• Counting = This can be a manual “Counting” or “Tag counting”
• Sales order
• Inventory adjustment
• Transfer
• Transfer order shipment
• Inventory blocking (whenever you see this – it is usually on the Hub for Return or Cancelled items – these are “reserved” by the inventory
status)
**Receipt/Issue
• Puchased – does not mean purchased as such. The term is used to show when an item gets on hand on a specific warehouse (If you return
an item from a sales order or win an item – it will show as purchased)
• Sold – does not mean sold as such. The term is used to show when an item leaves a specific warehouse (when a sales order gets invoiced,
or journal posted – it will show as sold.)
• On order/Ordered – means that the item is connected to a journal/sales order, but not reserved (Usually we see this if there is missing
some item info on the journal/sales order – could be Serial number, that was not added.)
• Physical reserved – The item is locked to a journal/sales order, but not yet posted or invoiced
